Classlist: A Quick Guide to Carmen Roles

People can access more or fewer features and tools in Carmen depending on their role in a course. For example, those with Instructor, Content Editor, and Assistant roles for a course can modify and add course content, while those with Student, Guest, and Grader roles can only view content.

Each role can be assigned more than once per course and everyone with a given role has equal access within the course. While it is possible for a person to have different roles (and, therefore, different levels of access) for different courses, each participant is limited to a single role within a given course.

Those with Instructor roles can manually add others as Instructors, Students, Guests, Content Editors, Assistants, and Graders to their courses. The Instructor role can also remove individuals from the Classlist.

Note that a student or other person associated with a course in the Registrar’s records will be automatically re-enrolled the next morning. To change or remove these individuals from a course, please direct students or drop the course through the Registrar or contact the departmental course coordinator to address staff access.

Note: On September 13, 2009, several changes were made to Carmen role names. No changes were made to levels of access.

Roles Summary

Instructor and Instructor-like Roles

Instructor: Has full access to course management, course material, assignments, gradebook, and classlist functions.

The role of Instructor is automatically assigned to individuals with the SIS role of Primary Instructor or Secondary Instructor.
Instructors can manually add other Instructors, Students, Guests, Lecturers, Content Editors, Librarians, Assistants, and Graders to their courses. (Note: After someone is manually enrolled in a course, their role can be changed by unenrolling and then re-enrolling that person.)
The role of Instructor automatically has access to all course sections (for adding grades, etc.)

Assistant: Has nearly the same level of access to the course as the Instructor. This includes full access to course material and assignment functions and nearly full access to gradebook and classlist functions.

The Assistant role cannot calculate or submit final grades or remove anyone from the classlist.
The role of Assistant is automatically assigned to individuals with the SIS role of TA or Lab Assistant.
Instructors can also manually enroll people in the Assistant role in Carmen.
The role of Assistant must be associated with each course section for which the individual will be responsible. Providing access to multiple sections is most easily done in SIS.
This role was previously called TA-Content&Grades.

The Assistant role is useful for:

allowing someone other than the official Instructor to upload or change Content or assignments or to manage and enter grades. However, someone with the Instructor role is still responsible for calculating and submitting grades to the Registrar.

Librarian: Can modify course structure and content and can make or grade assignments, but cannot view the gradebook or add anyone to the course.

The Librarian role is virtually identical to the Instructor for the purpose of creating, editing, or modifying content and assignments. However, Librarians cannot view or edit the Gradebook. They also cannot add anyone to the course.

The Librarian role is useful for:

when the instructor would like to collaborate with a Subject Librarian to put together library resources or assignments for their course. Careful consideration should be given to whether the Librarian or the Instructor role is most appropriate for any particular collaboration.

Content Editor: Can set up course structure, content, and assignments, but cannot set up the gradebook, grade assignments, or enter grades.

The Content Editor is virtually identical to the Instructor for the purpose of creating, editing, or modifying content and assignments. The Content Editor role has limited access to any part of the course where student responses or data are visible.
Instructors can manually enroll people in the Content Editor role in Carmen.

The Content Editor role is useful:

when the official Instructor wishes to delegate course development to another person who will not be teaching the course.

Grader: Has access to enter grade data for assigned sections, but cannot set up grades, calculate final grades, or submit them to the Registrar. Also, cannot modify course structure, content, or add anyone to the classlist.

The Grader role is the least-powerful "Instructor-like" role. Those with the Grader role can grade assignments, give feedback and enter grade data.
The role of Grader is automatically assigned to individuals with the SIS role of Grader who do not have access to the SIS Grade Roster.
Instructors can also manually enroll people in the Grader role in Carmen.
The role of Grader must be associated with each course section for which the individual will be responsible. Providing access to multiple sections is most easily done in SIS.
This role was previously called TA-Grader.

The Grader role is useful for:

individuals who grade student work, or who might lead a recitation section but who do not need access to modify course Content.

Student and Guest Roles

Student: Can view content, submit homework, take quizzes, participate in online chats and discussions, and view own grades. This role is automatically assigned to students enrolled in a course.

IMPORTANT: Carmen's term for adding a participant to the Classlist is "enroll." This term is used when adding students, TAs, instructors, or anyone else to the course within Carmen. Although this term is the same as the one used by the Registrar's office, "enrolling" a participant in a course through Carmen does not enroll the participant with the Registrar's office. Students wishing to enroll in the course must do so through Buckeye Link.

Guest: Can view content and participate in online chats and discussions, but cannot submit homework to the dropbox, take quizzes, or view grades.

The Guest role is similar to the Student role, except that no assignment or grade functions are available.
Guests must log in with their Ohio State username (lastname.#) and password.

The Guest role is useful for:

showing course content to those who are not officially affiliated with a course.
allowing guests to participate in class discussions and chats without having the ability to modify course content or to access assignments.
