Carmen Affiliates (CA) are specially-trained Ohio State University staff who assist their own colleges and departments with complex Carmen tasks. They are also consulted on decisions regarding eLearning support at Ohio State.
Depending on the training they receive, Carmen Affiliates can manage many requests that would otherwise be handled by the Carmen team, such as combining or splitting courses sections and "impersonating" users to troubleshoot problems. When Carmen Affiliates require assistance, they have direct access to the Carmen team, bypassing the help desk.
Because of the level of access granted Carmen Affiliates, participation in the program requires:
The four Carmen Affiliate roles -- Auditor, Specialist, Manager, and Senior Manager -- have different levels of system access rights and training requirements. (The Specialist, Manager, and Senior Manager roles are considered a sequence with escalating responsibilities.)
Workshops required for these roles include:
Required training: Policy workshop -- covering FERPA , MARX, Copyright, and TELR business practices (90 minutes)
Auditors may gather information, but must pass change requests to CAs with more system permissions.
Required training: Policy workshop -- covering FERPA , MARX, Copyright, and TELR business practices (90 minutes) -- and CORE workshops -- Quick Start (90 minutes), Gradebook (60 minutes), and Quizzes (60 minutes)
Level of access:
Required training: Course Management workshops -- Manage Courses (90 minutes) and Public Utilities (90 minutes)
Level of access: All Specialist functions plus the following:
Access to Public Utilities for altering course shells. (See Public Utilities information about Public Utilities.)
Duplicate Call Numbers, including adding existing call numbers in another course.
Move/combine Call Numbers, including removing call #s from one course and adding them to another course.
Add a new course shell.
Change course titles, including changing associated titles for non-Registrar courses completely and appending text to the end of a Registrar’s course title.
Manage Courses, including searching for courses (offerings) and course templates.
Required training: Account Management workshops -- Local Accounts and Manage Users (90 minutes) and LOR Management (90 minutes)
Level of access: All Manager functions plus the following:
Remove and manage users, including changing roles -- these functions cannot be limited to one department or college; you have permissions for the entire university.
Impersonation is useful for troubleshooting instructor, TA, and student problems when the Role Switch function is not enough.
Manage the LOR and administer LOR permissions.
